Under minimal supervision, performs advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organizational policies and practices and strong use of technology to create efficiencies. Prepares and initiates routine and non-routine, somewhat complex correspondence and documents, presentations, reports, etc. Ability to schedule and facilitate extensive meeting schedule using Microsoft  Outlook and Teams technology, arrange world-wide travel, file expense reports and screen telephone calls. Assists in budget preparation and control activities of records, statistics, and reports regarding operations, personnel changes, etc. Requires a high level of tact and integrity due to the frequency of senior-level internal and external contacts and regular exposure to high-level confidential data. Completes special studies and projects as assigned. Typically reports to and provides services for one or more high-level executives.

 

JOB RESPONSIBILITIES: 

  • Act as partner for Executive(s) and leadership, supporting execution of strategy by familiarizing with people, objectives, and priorities of the team
  • Provides a variety of complex administrative and staff support services. (vendor management, office operations and training administration)
  • Relieves the organizational unit of administrative work and project details where appropriate, including preparing varied to complex reports, meeting preparation and minutes, filing, answering questions regarding the organizational unit procedures and processes, screening phone calls as appropriate, etc.
  • Works with individuals outside the organization that are important in the business life of the executive (board directors, vendor executives, executive business network)
  • Assists with high-level confidential projects, which may include creating supporting documentation such as graphs and charts
  • Assists in the preparation and control of a variety of office records, statistics and reports regarding operations, personnel, etc.
  • Schedules, coordinates, and maintains calendar and travel itineraries. Makes (virtual) and in-person meeting and travel arrangements
  • Serves as administrative liaison within or outside the company regarding administrative issues related to the organizational unit assigned
  • Assists in the budgetary process for the organizational unit. (payments and expenses)
  • Read and follow the Underwriters Laboratories Code of Conduct and follow all physical and digital security practices
  • Performs other duties as directed.

  • Higher Secondary Education
  • 5 or more years of related administrative assistant experience or paraprofessional experience
  • Demonstrated ability to handle multiple tasks within the assigned area
  • Demonstrated ability to make sound decisions based on information presented or researched.
  • Detailed knowledge of the organizational area assigned.
